The pickup photo checklist

Walk the machine before it leaves the yard. The guided checklist is built for working equipment.

Body and frame: all sides, plus close-ups of dents, cracks, or bent panels
Hydraulics: hoses, fittings, cylinders, and any visible leaks
Tires or tracks: tread, sidewalls, cuts, and wear patterns
Attachments: buckets, forks, blades — edges, teeth, and mounting points
Gauges and hour meter in one clear photo
Cab or operator station: glass, seats, controls

Serial plate, so the record is tied to the exact machine

Why the pair matters

You photograph the machine at the yard before it rolls onto your trailer. Each photo is stamped and hashed on receipt, and the AI flags visible wear, damage, and leaks directly on the images.

Return

You photograph the same machine the same way when you bring it back. The AI compares the two sets and highlights exactly what changed during your rental.

What changed? The comparison report pairs your pickup and return photos side by side, with differences marked — so any claim about damage during your rental is measured against your own documented record of the machine.

Why photograph the hour meter?

Hours are how rental usage is billed. A photo of the meter at pickup and return documents your actual usage alongside the machine's condition.

What counts as pre-existing damage on a work machine?

Anything the machine already carries from the yard: dents, cracked panels, worn cutting edges, weeping fittings. Photograph it closely at pickup so it can't be attributed to your rental at return.

Can the AI tell a scratch from a crack?

The AI flags what is visible and marks it on the photo; you review every flag. It suggests based on visible evidence — it's not a definitive diagnosis, and your review is what puts an item into the record.

Should I photograph attachments separately?

Yes. Attachments like buckets, forks, and blades take the hardest wear and are a common source of claims. Photograph their working edges, teeth, and mounting points at both visits.

DateStamp creates a photographic condition record. It is not an inspection, appraisal, or legal opinion, and a report does not guarantee any outcome in a dispute.
The AI flags only what is visible in the photos you provide. It cannot detect what the camera didn't capture — poor lighting, blurry images, or areas you didn't photograph will not be flagged. Your record is only as good as your photos.
AI flags are suggestions based on visible evidence, not definitive findings. You review every flagged item before it becomes part of your record.
Photos are timestamped and hashed on DateStamp's servers at the moment of upload. This documents when we received them, not when they were taken.
